Change of Tenancy (COT) Process and Forms

This section outlines the process and key requirements from suppliers when you have a COT

When you have a customer who wants a contract but its a Change of Tenancy as well. Here are the requirements by suppliers that must be met before submitting a contract.

To start, your customer must notify the existing supplier of the COT and complete the COT process.

BG-3 

  1. For BGB, complete their COT form and submit along with the contract. This is called an upgrade.
  2. Additionally, you will need to attach a copy of the lease document/sub lease or surrender of lease, Photo Identification (passport or driving licence) and at least one of the following:

- Copy of council tax rates business rates (incoming tenants only)

- Business Insurance Documents

- Bank Statement – to prove rent/lease payments

- Utility bill (sole traders only)

Note: If a landlord doesn’t provide the surrender of lease document then a letter from the Landlord confirming the exit, signed and dated will suffice (e.g Admiral Taverns / Trust Inns)

  1. For all other suppliers, the COT must be submitted and accepted prior to the contract submission.
  2. You will need to raise a support ticket and select the menu option as COT submission.
  3. You can then submit the contract to that supplier.
